Part-time Executive Secretary for Rotary Club of Hong Kong
Job Description
At Rotary Club of Hong Kong, we are dedicated to bringing business and professionals together to provide humanitarian services to the community and promote high ethical standards in all vocations. We are currently looking for a part-time Secretary to be the supportive force at the Club level. The ideal person for the job will be a proactive problem solver with exceptional communication skills and a meticulous attention to detail.
Objectives of this Role
With the primary responsibility of assisting the President, provide support to the Board of Directors and members to ensure that organization goals and objectives are accomplished, and operations run efficiently
Maintain and refine internal processes that support to the President, and Board members, coordinating internal and external resources to expedite workflow
Manage communication between the Board of Directors and members, liaising with internal and external executives on various projects and tasks
Plan and orchestrate work to ensure the Club’s priorities are met, organizational goals are achieved, and best practices are upheld
Main Responsibilities
Manage scheduling, including agendas, Zoom meetings, RSVPs, email, calls, travel arrangements, membership management, and other Club logistics.
Manage, coordinate, and arrange venue, transportation, and meal coordination.
Perform administrative support (including attending to banks or other Rotary related locations), maintaining Office applications, the preparation of board meeting minutes and notes, and the maintenance of the filing system and contact database.
Keep financial accounts up-to-date and coordinate with the accountant and audit team on a timely basis.
Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with Club affairs.
Organize team communications and plan events, both internally and offsite.
Skills and Qualifications
At least 5 years’ experience in administrative role
Have passions to work for a non-profit organization and contribute to the community
Superb written and verbal communication skills in both English and Chinese.
Strong time-management and book – keeping skills and the ability to organize and coordinate multiple projects at once
Proficiency in Microsoft Office, zoom and other office productivity tools
Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge

Art Therapy Initiative 2023-24
On September 16, In a collaborative effort, Tuen Mun Hospital, The Rotary Club of Hong Kong, The Rotary Club of Queensway, Rotaract Club of Hong Kong, and Rotaract Club of HKU proudly present the "Art Approach LAP 2023/24". This workshop offers a blend of theory and hands-on practice, focusing on enhancing communication and artistic talents in dementia patients.
Art Therapy for Dementia
On October 6, 2021, we partnered with Tuen Mun Hospital to conduct a 2-hour online introductory course on the "Art Approach for Dementia," attracting 87 participants including social workers, caregivers, medical professionals, and the general public. The joyous smiles on the faces of President Ankie and Service Director Irene showcase the happiness that art therapy can bring.

Art Therapy
We worked jointly with The Salvation Army to provide Art Therapy treatment to Elders with dementia. The Club sponsored rotaractors to undertake training who, in return, conducted therapy sessions to elders at the Salvation Army’s Elder Centers.
